Register an account
Access the link https://app.workgpt.ai to go to the WorkGPT Chatbot AI homepage. To register, please follow the instructions below:
Step 1: Click the chatbot AI account registration button to create a free chatbot.
Step 2: Enter your information to register for a Chatbot account
Access your account
Enter the account information and password provided to you to log in to the system.
You now have a WorkGPT Chatbot AI account. You can start integrating the chatbot and enjoy a free 7-day trial with outstanding features. Check out the integration guides for Zalo, Facebook, WhatsApp, Messenger, and Website to create your own chatbot.
2. Chatbot Integration
Create a Chatbot
To create a new Chatbot, follow these steps:
Step 1: Click the Add bot button to create a new Chatbot.
* Note:
- The “+ Add Bot” button is only displayed when a bot is available.
- After connecting, the account will automatically reply to messages sent by other users, or when it is tagged in a group (this function can be disabled for individual users/groups).
=> It is recommended to use an account other than your regularly used personal account for WorkGPT Chatbot’s automatic reply function.
Step 2: Open the platform account you want to connect to in the mobile app and select QR code scanning
Step 3: Scan the QR code to integrate the Chatbot into the platform you want
Your Chatbot has now been successfully integrated into all platforms. See the detailed guides below for integrating the Bot into each platform.
Integrate Chatbot with Personal Zalo
To integrate WorkGPT Chatbot AI with personal Zalo, follow the instructions below.
Step 1: On the main screen, select “Add bot”
Step 2: In the platform list column, select Zalo Chat
Step 3: Scan the QR code on your phone and confirm the login
Step 4: You have successfully integrated the Chatbot into your personal Zalo.
Integrate Chatbot with Website
To integrate WorkGPT Chatbot AI into a Website, follow the instructions below.
Step 1: Same as the personal Zalo integration section
Step 2: In the platform list column, select Web Bot
Step 3: Enter the website information and click “Connect”
Step 4: You will then receive a “Script” snippet
Step 5: The web admin enters that script into the Footer as shown below
Step 6: You have successfully integrated the Chatbot into your Website
Integrate Chatbot with Messenger
To integrate WorkGPT Chatbot AI into Messenger, follow the instructions below.
Step 1: Same as the two sections above
Step 2: In the platform list column, select Messenger
Step 3: Enter the information for the Messenger account you want to integrate. Then click log in
Step 4: Grant access permissions to your Chatbot
Step 5: Click save to grant permissions to the Chatbot
Step 6: You have successfully integrated the Chatbot into your Messenger
Integrate Chatbot with WhatsApp
To integrate WorkGPT Chatbot AI into WhatsApp, follow the instructions below.
Step 1: Same as the sections above
Step 2: In the platform list column, select WhatsApp
Step 3: Open the WhatsApp app on your phone and go to “Linked devices”, then tap “Link a device” and scan the QR code on your computer screen
Step 4: You have successfully integrated the Chatbot into your WhatsApp
3. Management Interface
Main Screen
After successfully logging in, you will be taken to the main screen of WorkGPT Chatbot AI.
The screen displays 2 sections: “My Bots” and “Shared Bot”
- My Bots: Chatbots you create and have full control over, including managing and adjusting the number of participants in the Bot with you.
- Shared Bots: Chatbots shared with you by others to manage together; the Bot owner may restrict some permissions.
The top of the screen displays the platforms that you can integrate your Chatbot with.
The top-right corner of your screen displays information about the number of bots you have, including:
- Total: The total number of bots you own, including “Available” and “Connected”
- Available: The total number of available bots that can be connected to a new account
- Connected: The total number of bots connected to the account.
Add a Description for the Bot
Outside the screen displaying the Chatbots you own, you can add a Chatbot description below the name by clicking the icon next to “No desciption” and adding the information you want
Turn Chatbot On/Off
At the top of the chat window for each account, you will see an On/Off bot button. You can turn the Zalo bot feature on or off for that account. When you turn the bot Off for an account, the bot will not automatically reply to messages.
To turn automatic Chatbot replies on/off for each customer, open the chat with the customer and click the “Disable auto reply”.
Chat Management
Click the “Chat Management” button to switch to the direct chat screen (Live chat) with customers.
A Live chat window will appear, similar to the Zalo chat window. Here, you can view chat history and chat directly with the customer account.
Manage and monitor customer messages here
Tag Customers for Classification
Click the “Tag” icon as shown below to start classifying customers. You can freely customize the name and color of customer classification tags according to your needs.
To tag a potential customer, open the chat of the customer you want to tag. Then, select the tag (Choose tag) you created to assign it to that customer.
Chatbot Permissions
To set permissions for the Chatbot, click the “Sharing Access” icon in the left column of the screen.
You can customize sharing and manage the number of people participating in the Chatbot by following these steps:
Step 1: Enter the contact information you want to share (Phone number/Email)
Step 2: Set permissions for the person you want to share with under “Permission” and select one of the two permissions below
- Chat: Can chat, view, and switch bots
- Chat & Configuration: Can chat, view, toggle bot and edit configuration
To view and manage the number of people you have granted permissions to, see the “Sharing Access” section next to it.
Update Profile
Select the icon in the top-right corner of the screen, then select “Profile” (Profile)
On the profile information page, users can perform the following actions:
- Change the account owner name
- Add/change email (used to recover the password)
- Change the current password
4. Training Chatbot
To train the bot, click the “Configuration” button. Bot configuration consists of 2 sections: Prompt and Documents
Add Documents
Purpose: This is where you can add documents that the Bot will use to look up information and reply to messages.
How to use:
- You can add new documents or delete documents.
- Documents must be in Google Docs or Google Sheets format and must be shared publicly or shared with the [email protected] account.
- After adding documents, the Bot will use the content in the documents to automatically reply to messages.
After saving the settings in the Prompt and Documents section, the bot will start using this data to reply automatically.
Update Prompt
Go to the prompt configuration screen
Purpose: This is where you enter requirements and instructions on how the Bot should respond to messages from users.
How to use:
- You can enter instructions here to help the Bot respond to requirements correctly.
